1. About this notice

Zentro provides AI receptionist services to UK businesses. When you call a business that uses Zentro, your call may be answered by an AI system rather than a human, and the call may be recorded and transcribed for the purposes of providing the receptionist service.

2. You may be speaking with AI

Zentro uses artificial intelligence to answer the phone, understand spoken questions, capture booking details, and pass your details to the business. If you would prefer to speak with a human, you can say so at any point during the call.

3. Why calls are recorded

Calls are recorded and transcribed to deliver the receptionist service (so the AI can understand and respond), create a written record of bookings and enquiries, improve the accuracy of the service for the specific business, and comply with legal obligations.

4. Legal basis

Under UK GDPR, processing relies on legitimate interests of the business, performance of a contract where you're booking a service, or legal obligations where applicable.

5. What data is captured

Depending on the call: your phone number, audio of the call, transcript, information you choose to share (name, address, reason for calling), and call metadata.

6. How long it's kept

Call recordings and transcripts are retained according to the business's chosen settings, typically 12 months, then automatically deleted.

7. Who sees your data

The business you called receives your details. Zentro and our sub-processors process data on the business's behalf. We do not sell your data, share it for marketing, or use it to train general AI models.

8. Your rights

You have the right to access, correct, or delete your call data, object to processing, and lodge a complaint with the ICO at ico.org.uk. Contact the business you called to exercise these rights — they are the data controller.

9. Emergencies

Zentro is not designed for emergency calls. If you are experiencing a medical, fire, police, or other emergency, please call 999 (UK) immediately. Do not rely on an AI receptionist for urgent situations.
